Anyone searching for private K-12 school management software in 2026 is really choosing among seven student information systems: FACTS, Blackbaud, Veracross, Sycamore, Gradelink, Alma, or SchoolCues. Between them they run most U.S. private schools. They differ less on the SIS core, which all of them handle competently, than on the three workflows a private school lives in every day: collecting tuition, talking to families, and running admissions, academics, and billing without reconciling between products. On those three, Sycamore is the strongest all-around fit for small to mid-sized private schools. FACTS leads on tuition heritage, Blackbaud and Veracross on scale and fundraising, Gradelink and SchoolCues on entry price, and Alma on interface.

Which student information systems do private K-12 schools in the United States use?

The U.S. private K-12 school software market sorts into four rough tiers, and most schools can find themselves in about a minute.

Tuition-first platforms. FACTS is the most common SIS in Catholic, Lutheran, and evangelical schools, mostly because those schools adopted FACTS Tuition Management first and picked up the SIS (the former RenWeb) later. Blackbaud Tuition Management, which used to be Smart Tuition, plays the same role at larger independents.

Enterprise platforms. Blackbaud K-12 and Veracross dominate at bigger independent schools, particularly ones with a development office, a boarding program, or an upper school with complicated scheduling.

Unified mid-market platforms. Sycamore and Alma serve schools that want admissions, SIS, billing, and communication on one record without enterprise pricing. Sycamore has the longer history in private and faith-based schools (since 2001) and the larger international footprint. Alma is newer and leads with its interface.

Small-school platforms. Gradelink and SchoolCues serve schools under about 150 students, where entry price and simplicity matter more than depth.

You’ll also find PowerSchool and other district-first systems in some private schools, usually larger ones run by administrators who came up through public education. They work, but they carry state-reporting weight most private schools never use. Rediker and QuickSchools still have installed bases and show up on new shortlists less often than they used to.

How we compared them

Every platform here, whether the vendor calls it an SIS, school administration software, or a school management system, can store a student record, take attendance, and print a report card. Nobody chooses on that. Private schools choose on the work that fills the business office and the front desk, so we scored each system on three workflows.

Tuition management. Can the school bill from the student record, apply aid and sibling discounts, run payment plans, and process payments without a second vendor? And who decides who pays the transaction fee?

Parent communication. Can a family see balance, attendance, grades, and school messages on a phone, behind one login? How do families rate the app?

All-in-one administration. Does admissions flow into enrollment, into the SIS, into billing, on one record? Or does somebody in the office reconcile between products?

We used three levels: Native (built into the core record), Add-on (available, but as a separate module, product, or partner), and Limited. Everything reflects public documentation and app store listings as of May 2026. Confirm the specifics with each vendor before you decide.

The 7 systems

1. Sycamore

Best fit: Private, independent, and faith-based K-12 schools from about 50 to 1,200 students that want tuition, communication, and administration on one record at a published price.

On tuition, Sycamore runs payments natively (we acquired TuitionEP in 2025). Billing, aid, sibling discounts, and payment plans are all computed on the student record. Cards process at 2.9 percent plus 30 cents per transaction and ACH at 0.8 percent capped at $5, and Sycamore adds a 1 percent convenience fee on either with no cap, which works out to 3.9 percent plus 30 cents on a card and 1.8 percent on ACH. The school chooses whether it absorbs the fee, passes it to families, or splits it, and can handle cards and ACH differently if that’s what you want. Tuition refund protection through Vertical Insure was added in 2026.

On communication, the Sycamore Parent App on iOS and Android puts balance, attendance, grades, cafeteria, and school messages behind one login. It carries a 4.8-star combined rating across the Sycamore and TuitionEP listings on the App Store.

On administration, admissions and enrollment run as one funnel into the SIS and into billing. There’s nothing to sync because there’s only one record.

Pricing is $4 per student per month with every module included, plus a low one-time onboarding fee based on school size. Contracts start at 18 months, longer terms lock the rate, and there’s no multi-year auto-renewal. Support is US-based with long tenure, and Sycamore Academy provides on-demand training at no extra charge.

2. FACTS

Best fit: Faith-based schools already using FACTS Tuition Management.

Tuition is FACTS’s strength and the reason most FACTS schools are FACTS schools. Tuition, Grant and Aid, and payment processing through Nelnet are mature and widely trusted, and a lot of business managers have run them for a decade without complaint.

The rest of the platform was assembled around that core. The Family App is a separate module, so families often manage tuition and school information in experiences built at different times. FACTS SIS, Application and Enrollment, and the financial modules are quoted separately, and schools tend to describe them as adjacent products rather than one system. Pricing isn’t published; the total gets assembled module by module.

FACTS makes sense when consolidating on one vendor matters more than working on one record, and when the school already trusts FACTS with its money.

3. Blackbaud K-12

Best fit: Large, established independent schools with a professional development office.

Blackbaud’s K-12 offering is a family of named products: SIS, LMS, Enrollment Management, Tuition Management (formerly Smart Tuition), Financial Aid Management, Raiser’s Edge NXT. Each is capable on its own. Tuition Management and Financial Aid in particular have a long history.

Where schools do their reconciling is between the products. Communication runs across several of them, families with children at more than one Blackbaud school report needing separate logins, and reviewers describe friction moving from one product to the next. Pricing is quote only, standard agreements run three years with automatic renewal and a short cancellation window, and third-party guides cite five-figure implementations.

The reason to choose Blackbaud anyway is Raiser’s Edge NXT. It’s the fundraising category leader, and for a school where advancement drives the budget, that outweighs everything above.

4. Veracross

Best fit: Larger independent schools, boarding schools, and American international schools with the staff to run a highly configurable system.

Veracross is the most complete single platform at the top of the market. Billing is native and well regarded (payment processing runs through integrations rather than a Veracross-owned processor), the development and alumni module is deep, and the scheduling engine handles things mid-market platforms don’t try.

Parents are where it’s weakest. The web portals are comprehensive; the mobile experience is the most-criticized part of the platform in app store reviews. And the cost of all that configurability is real: quote-only pricing that third parties place in the five figures annually, implementations of three to six months that are largely self-directed, and a dedicated Veracross administrator on staff at many schools. Support is ticket and email.

Choose Veracross if you have the budget and the people, and you need scheduling or advancement depth nobody else here offers.

Best fit: Private schools under about 150 students that want simplicity and excellent support.

Gradelink’s parent and student app is well liked by families, and the support behind it is among the best in the category. The SIS, gradebook, attendance, and report cards are included, and pricing is published in tiers starting around $121 a month, month to month, with a modest setup fee.

Tuition is the thin spot. It’s a basic accounts receivable ledger with payments handled by a third-party provider, fine for simple tuition and not much help with aid or plan management. Admissions (EnrollMe) and SMS (SmartSend) are paid add-ons, there’s no teacher mobile app, the web interface isn’t mobile optimized, and support hours are Pacific time.

Choose Gradelink if you’re small, you value support above breadth, and month-to-month flexibility matters to you.

6. Alma

Best fit: Progressive independents and charters that put interface quality first.

Alma’s interface is the cleanest in the category and its support team is strong. Administration is native, with AlmaStart admissions flowing into the SIS, and there’s a native fees module with payment plans and card and ACH processing.

Two gaps to know about. There’s no native iOS or Android app; AlmaNow is a progressive web app installed through the browser, and families sometimes struggle to find and install it. And schools with complex aid describe the fees module as thin. Reporting is the most common complaint overall, custom fields cost extra, and pricing is quote only.

Choose Alma if teacher and administrator experience is the deciding factor and your tuition needs are simple.

7. SchoolCues

Best fit: Micro-schools and small faith-based schools under about 75 students.

For a flat fee starting at $75 a month, SchoolCues covers a surprising amount: native billing and payments with recurring plans, donations, admissions with contract builders, alumni, after-school programs, unlimited SMS. The team is very small and the support is personal.

The trade-offs follow from that. The Android app is rated well below the category, the interface gets described as engineer-designed, there’s no public API, and a five-person team can only train and ship so much.

Choose SchoolCues if you’re very small, budget is the constraint, and you’d rather have a person than a portal.

Strip the field of school management systems down to the three workflows and a pattern shows up.

Schools already inside the FACTS or Blackbaud tuition ecosystems have a real consolidation question in front of them: stay for the tuition heritage, or move to a platform that runs tuition on the same record as everything else. The honest answer usually depends on how many hours a week the business office spends reconciling.

Schools under 100 students should compare Gradelink, SchoolCues, and Sycamore on total cost at the size they expect to be in three years, not the size they are now.

Schools between 150 and 750 students, roughly three in ten U.S. private schools according to the federal Private School Universe Survey and a much larger share of enrollment, are best served by a platform where admissions, SIS, billing, payments, and the parent app were built on one record. That shortlist is short, and Sycamore is the strongest fit on it for published price, fee flexibility, family experience, and support.

Schools above 1,000 with a development office should shortlist Veracross and Blackbaud alongside Sycamore and decide whether advancement depth or platform simplicity matters more to them.
